What is Job Costing?

Tracking what each job actually costs — labor, drive time, materials, disposal — so you know which customers make money and which quietly don’t.

Job costing is the discipline of knowing what a specific job actually cost to deliver — crew hours, drive time, fuel, materials, dump fees — so you can compare it to what you charged. Without it, an operator knows revenue and knows the bank balance, but has no idea which customers are profitable. With it, the route stops carrying passengers.

The lawn care version is simpler than the contractor version. Commercial construction job costing tracks dozens of cost codes; a residential lawn crew mostly needs four numbers per job: minutes on site, minutes of attributable drive time, materials or disposal costs, and the price charged. From those, cost per visit at your loaded hourly rate falls out — and so does the uncomfortable list of yards earning less than your floor.

Where the money hides. The classic finds: the legacy customer priced three seasons ago who never got an increase; the far-flung yard whose drive time turns a $60 mow into a $40 mow; the 'quick extra' tasks that were never priced at all. None of these show up in total revenue — every one of them shows up in job costing. (Drive time is the most common blind spot; route density is the other half of that story.)

How much rigor is enough. For most solo operators and small crews, spot-checking is plenty: track actuals for one week each season, recalibrate your per-visit estimates, and repricing decisions get dramatically easier. Software that timestamps visit start and completion gives you the labor half of job costing for free.

In Grassr, visits carry start and completion timestamps and per-visit line items — the raw material for exactly this. The repricing playbook the numbers usually lead to lives in how to price lawn mowing jobs.

Why it matters

Revenue tells you the business is busy; job costing tells you whether it’s profitable. The handful of underwater customers hiding in every mature route can only be found by looking at cost per job.
