Free Lawn Care Software:
What It Really Costs
Free lawn care software is real — Yardbook has a free plan, and a spreadsheet costs nothing. The honest question is not “is it free” but “what does free cost me” in ads, time, and payments you never collect. Here's the math.
The three kinds of “free”
Spreadsheets. Genuinely free, infinitely flexible, and fine until about 15 customers. Past that, you are the route optimizer, the reminder system, and the collections department — and none of those scale with your memory.
Free tiers of paid tools. Yardbook's Starter plan is free and ad-supported; its paid plans annualize to about $419.88 and $599.88. The free tier gets you in the door, but the features most growing operators actually need tend to sit behind the upgrade.
“Free” that means ad-supported or data-supported. If you aren't paying, your attention (ads) or your customer list is usually part of the deal. Worth knowing before you put every customer you have into it.
What free usually costs you
- ✓Chased payments. Free tools rarely include card-on-file auto-charge, so you invoice, wait, and follow up. Two uncollected or slow-paid jobs a month usually dwarfs any subscription.
- ✓Manual routing. Without route optimization, you eat 30-60 minutes of extra windshield time a day once the schedule is full.
- ✓Ads in front of your customers. Ad-supported tools show ads in the customer-facing views — not the look you want when a client opens their invoice.
- ✓Per-seat surprises. The moment you add a crew member, many “cheap” tools start charging per user. A free-to-start plan can get expensive fast.
When paid is actually cheaper
For a solo operator with a handful of customers, free is fine — start with a spreadsheet or a free tier. But once you're running a full week, the cheapest real option is usually the lowest-priced dedicated tool, not the free one:
| Option | Annual cost | Per-seat? |
|---|---|---|
| Grassr | $199/yr flat | No — unlimited crew |
| Yardbook (paid) | ~$419.88–$599.88/yr | Varies |
| Jobber | from ~$348/yr | Yes, per user |
| Housecall Pro | from ~$708/yr | Yes, per user |
Competitor prices are annualized published entry rates and change often — check each vendor's current pricing. Grassr is $199/year (or $29/month), every feature, unlimited crew, with a 7-day free trial.
The short version
Free lawn care software is a great place to start and an expensive place to stay. If you have a few customers, use a free tool. If you're running a full week and chasing payments, the flat $199/year almost always pays for itself in collected invoices and saved drive time.
